Medical Jobs UK is a well established locum recruitment agency in Lancashire. They had a manual system which was being used to manage bookings for the pharmacy clients they serviced. However, this system was prone to a lot of problems namely,

  • Insufficient communication amongst work staff on job booking updates
  • Two or more staff chasing the same booking
  • Locums being called more than once to fill the same booking
  • Invoicing was more than a month behind as invoicing was a tedious process of making diary entries of completed job bookings and costing them.

Solution:
The solution developed for Medical Jobs UK was a bespoke browser based booking management system. All information about locums and pharmacies were now stored in the booking system. The system also captured information like ‘availability dates for locums’, pharmacy work staff interaction, locum work staff interaction and locum job quality / feedback. The solution now provided Medical Jobs UK with the following benefits.

  • Reduced cost per booking – As the solution now recommends locums that would be available to fill a booking based on ‘availability dates’ previously entered, staff were able to secure a booking with fewer no. of phone calls now.
  • Better cash flow – This was achieved by reducing the invoice generation process from a few days to just a few seconds! Invoices for pharmacies was now generated at the click of a button. This resulted in the company receiving payment at the end of the month as opposed to two months later.
  • Better communication – As all work staff were now logged into a central system, any updates or changes made to a booking were immediately visible to all staff thus increasing communication.
  • Low downtime – As the solution is browser based, any changes/upgrades made to the machines on the network didn’t affect the software. The client has twice upgraded all machines within the company with little to no downtime from the solution.
  • Increased security – Access to the system is password protected, thus ensuring that only authorised users have access to the information. Further, access levels enable the company to provide access to screens depending on the job function of the user.
